How do you consistently collect customer reviews?

Define eligibility without guessing who is happy

Use a business event the operating system can verify, such as a closed work order, delivered order, or completed appointment. If an issue or rework case is still open, wait for its documented resolution event; then send the same request the customer otherwise would have received, whether the resolution ended positively or negatively. Do not postpone that customer indefinitely or route them away from the public review option based on expected sentiment.

An auto repair shop, for example, could invite every customer after the repair order closes. If a comeback is opened, the invitation waits until that case is closed and then follows the ordinary rule. Staff opinions about the likely star rating never enter the decision.

Make one brief request and a restrained follow-up

Thank the customer, identify the completed service, ask for an honest review, and provide a direct link to the appropriate business profile. Do not write praise for the customer to paste, imply that only positive feedback is welcome, or promise an incentive without first verifying the platform's rules and any disclosure requirements.

Use a channel the customer permitted. Stop when the review or feedback is recorded, the contact method fails, or the customer opts out. If the platform does not reliably report completed reviews, cap the sequence rather than continuing to ask.

Keep service recovery open to everyone

A private feedback form can help the business find operational problems, but it cannot be a gate that sends satisfied customers to a public site while containing criticism elsewhere. Give all eligible customers the same review path and route complaints to someone who can respond without removing that option.

Before launch, test duplicate jobs, reopened work, shared household contact details, invalid links, opt-outs, and locations with different review profiles. Review current platform rules when the workflow or incentive changes.

  • Can staff explain exactly why a customer was or was not eligible?
  • Does reopening a case pause rather than erase the request?
  • Are private details kept out of public replies?
