Which subscription variables drive the bill?

Lead capture products may price by users, contacts, locations, forms, phone numbers, messages, calls, workflow runs, storage, or feature tier. A plan that fits a small contact list may change when the business adds texting, routing, reporting, another location, or historical records that count toward a contact limit.

Estimate present volume and realistic peaks for each source. A landscaping company may receive most inquiries during a short seasonal window, while a professional office may have steadier form and phone traffic. Include website forms, calls, chat, advertising forms, referrals, and imports only when they are genuinely part of the first workflow.

What implementation work sits outside the subscription?

Software still needs forms configured, fields mapped, duplicate rules defined, permissions assigned, notifications written, and destinations connected. Existing contact data may need cleanup before it can be used safely. Staff need a clear way to claim a lead, correct a record, and see the next action.

Ask who will own the accounts and configurations, what the implementer will deliver, and which future changes count as support or new work. If phone, calendar, inbox, advertising, and CRM products all participate, each connection adds testing and another possible failure point.

Which hidden operating costs should you include?

A failed form submission, expired connection, rejected message, or duplicate record can create labor and lost attention that never appears on an invoice. Confirm where failures appear, who reviews them, and whether the original inquiry remains recoverable. The team should not need a developer to notice that yesterday’s leads stopped arriving.

Plan for an orderly exit too. Confirm that contacts, source details, permission history, activity, and useful configuration can be exported. Understand what remains available after cancellation and who owns phone numbers, domains, and connected accounts.

How should you judge whether the cost is justified?

Use your own baseline: inquiries by source, manual handling time, duplicates, unassigned leads, response delay, and progression to an appointment, quote, or other real sales step. Do not treat every captured contact as revenue or every minute removed from data entry as profit.

Price one defined lead path first, such as a website request becoming an assigned record in the existing customer system. A small scope makes subscription, connection work, exceptions, and acceptance tests visible. The result can justify expansion—or show that a simpler process change is enough.
