Find the reason before choosing the remedy

Review recent missed appointments and classify what happened. Someone may have forgotten, misunderstood the location, lacked required preparation, struggled to reschedule, or booked too far ahead. Reminders help with memory and clarity; deposits or policy changes address different behavior.

  • Was the original confirmation delivered?
  • Were the time, time zone, and location clear?
  • Could the customer change the appointment without calling repeatedly?
  • Did staff alter the calendar without triggering an updated notice?

Send information the customer can use

Confirm the date, local time, location or meeting link, preparation requirements, and the approved way to change the appointment. A mobile repair business may also include the service address and arrival window; a salon may need a concise cancellation link. Use text or email according to customer permission and the sensitivity of the service.

The reminder must read from the real calendar. If staff reschedule or cancel, future messages need to change immediately. Do not claim a slot is confirmed until the calendar accepted it.

Let replies change the schedule

A confirmation, cancellation, or reschedule request should update the record or create an owned task. Free text that the system cannot safely interpret belongs with a person. Otherwise a customer can reply that they are unavailable and still receive messages insisting they attend.

For sensitive services, reveal only the minimum necessary information in text, voicemail, and lock-screen notifications. Account for time zones and daylight-saving changes when appointments or staff cross regions.

Use proportionate policies and test one calendar

Explain deposits, cancellation windows, and no-show charges before booking is complete. Apply them consistently while giving staff an exception path for emergencies and accessibility needs. A severe policy cannot repair a confusing booking flow.

Pilot one appointment type. Test new bookings, staff-created appointments, changes, duplicate contacts, failed messages, and a full schedule. Compare completed, canceled-in-time, rescheduled, and missed appointments with the prior process using the business's own data.
