How do you move from spreadsheets to a CRM without creating more work?
Move only when ownership, reminders, shared history, or access control have outgrown the sheet—and configure the smallest useful pipeline.
Be specific about what the spreadsheet can no longer do
A sheet may be entirely adequate for one person and a short sales cycle. Moving becomes more useful when several people touch a lead, conversations live in separate inboxes, follow-up dates are missed, permissions differ, or nobody can answer what needs attention today.
- Every open record needs an owner and dated next action.
- The team needs one understandable status, not several personal labels.
- Customer history must be available without copying private inboxes.
- Overdue work needs to surface without someone sorting the sheet.
Configure a working pipeline, not a database museum
Agree on a few stages and the event that moves each record forward. Keep the fields people use to act: source, contact, owner, status, last contact, next action, and next-action date. Add job, quote, or value fields only when they support an actual decision or handoff.
For example, a five-person service company may need website inquiries to enter as new, receive an owner, and create a callback task. It may not need lead scoring, a twelve-stage funnel, or a new marketing suite. Automatic capture and reminders remove work; mandatory fields nobody uses add it back.
Migrate once and close the old route
Clean duplicates, archive stale prospects, preserve useful notes, and reconcile counts before launch. Run one pipeline first and train staff by completing their ordinary daily actions. Make sure reassignment, an absent employee, a duplicate submission, and a failed import have clear outcomes.
Keep the old sheet read-only with limited access for an agreed reference period. Set the retirement date in advance, then securely dispose of or archive the old copy according to the business's retention obligations. Without that end date, staff will update both systems and neither will remain trustworthy.
